Position Summary

The Executive Operations Manager is responsible for the daily management of the President & CEO’s administrative affairs and the operations of the Chicago Office. This position will have regular interaction with the executive leadership team, the board, partners, and donors. The position reports to the President, responding to the priorities of the President and TIME’S UP as a whole.

The Executive Operations Manager will provide transactional support for the finance, operational and administrative functions for TIME’S UP, including daily finance transactions, managing local vendor relationships, and facility/IT operations.

Duties and Responsibilities:

Administrative

  • Manage the President & CEO’s schedule, including day-to-day and long-term management of meetings, projects, and priorities
  • Schedule meetings and travel, including prioritizing meetings, and communicating all relevant details to participants
  • Balance conflicting priorities in order to manage workflow, ensure the completion of essential projects, and meet critical deadlines
  • Serve as the first point of contact for a wide variety of high-level relationships between the President, board, major donors, external contacts, and partners
  • Manage board meeting logistics which includes securing the venue, catering, and travel arrangements as needed
  • Primary point of contact for all board communications that includes development of board books, coordinating meeting dates and conference calls, and assist the Board Secretary as needed
  • Prepares agendas for internal/external meetings and prepares briefing materials as required
  • Execute special projects as assigned by the President and Executive Leadership

Operations

Office Management

  • Coordinate all aspects of the facilities/IT function for the Chicago Office
  • Responsible for maintaining and ordering office supplies as needed for all regional offices
  • Coordination of all incoming/outgoing mail via USPS, FedEx, UPS, etc….
  • Office support for the setup of Time’s Up team conference calls
  • Coordinate the office schedule and security logistics for visitors
  • Manage the development of process documents such as travel, onboarding, and general Standard Operating Procedures
  • Assist with event logistics for TIME’S UP events based in Chicago

Human Resources

  • Support Director of People & Culture with the implementation of employee policies and procedures, including onboarding and offboarding procedures as needed
  • Bring an equity lens to implementing and improving human resources practices and office culture

Finance

  • Coordinate day-to-day fiscal functions for the Chicago Office, including submitting invoices and expense reports with proper documentation to the finance team for processing
  • Maintain on-time reporting for the monthly credit card reconciliations that include the collection/submission of all receipts for that period
  • Assist the VP of Finance and Administration with onsite budget/operational support as needed
  • Coordinate and conduct new hire orientation around Finance and Operations processes for TIME’S UP

Preferred Qualifications:

  • Bachelor's degree or at least 15 years of relative experience
  • Highly organized, self-motivated, independent worker who can prioritize tasks and manage multiple projects at once and work under short deadlines
  • Strong attention to detail, systems, and processes
  • Demonstrated ability to work with senior-level executives, both internal and external
  • Ability to exercise judgment, manage important relationships, provide timely and concise information
  • Ability to maintain confidentiality and handle privileged information in a discreet and confidential manner
  • Familiarity, comfort, and ability to thrive within a small, dynamic team environment
  • Strong written verbal/non-verbal skills

Additional information:

  • A minimum salary of $70,000 will be provided to a successful candidate meeting the minimum requirements for the position
  • Based in Chicago
  • Some US travel may be required
